This Privacy Policy explains how VinTelligent, Inc. ("VinTelligent", "we", "us") collects, uses, shares,
and protects information when you use the VinTelligent Decoder mobile application (the "App").
If you use the App through a business account (for example, as a driver/inspector for your employer),
your organization may control certain data and settings related to your use of the App.
1) Information we collect
We collect information necessary to provide vehicle scanning, inspections, damage documentation, yard inventory tracking, and optional trip tracking.
1A) Vehicle, inspection, and logistics information (provided by you)
- Vehicle identifiers and details you enter or scan (for example, VIN, stock/unit numbers, load list references).
- Inspection results, notes, statuses, and related operational information you submit through the App.
1B) Photos and camera data
- The App uses your device camera to scan barcodes/QR codes and to capture vehicle condition and damage photos.
- Photos you capture may be uploaded to your organization’s account/systems as part of inspection records.
1C) Location information
The App may collect location for two main purposes:

Real-time trip tracking (“Trucker mode”):
When you explicitly start a trip, the App may collect and transmit your device’s location to provide real-time trip visibility
(for example, transporting vehicles from a plant to a dealer or rail station). Trip tracking may continue when the app is
not open or the screen is off if you grant background location permissions. You can stop tracking at any time and it ends
when you stop the trip.

Yard / terminal inventory location capture:
When you record where a vehicle is parked in a plant yard or rail terminal yard, the App may capture the device’s location at that time and store it together with a location label/name you enter (for example, “Row B / Slot 12”) to help find and manage inventory.
Foreground/background: Depending on the permissions you grant and how your organization configures the App,
location may be collected while the App is open (foreground) and may also be collected while the App is not in active use during an active trip (background).
1D) Account, device, and app information
- User login name / account identifier (to provide authenticated features such as inspections and trip tracking).
- Technical information such as device model, operating system version, app version, and diagnostic logs to maintain security and improve reliability.
2) How we use information
- Provide App functionality (vehicle scanning, inspections, damage documentation, yard location recording, and trip workflows).
- Upload and synchronize inspection records, photos, and related data to your organization’s systems.
- Provide real-time location tracking during an active trip when enabled by the user.
- Maintain security, prevent abuse, troubleshoot errors, and improve performance.
3) How we share information
We share information only as needed to provide the service:

With your organization:
If you use the App through a business account, information you submit (inspections, photos, yard locations, and trip tracking data when enabled)
is shared with the organization that provides you access (for example, your employer/customer).

With partner services used by your organization (for example, FreightVerify):
When enabled for a trip, we may send location updates (for example, approximately every 5 minutes until the end of the trip),
trip status, and related operational information to third-party logistics/shipment visibility partners for verification and visibility.

With service providers:
We may use trusted service providers (for example, cloud hosting/storage and customer support tools) to process information on our behalf under confidentiality and security obligations.

Legal requirements:
We may disclose information if required by law or to protect the rights, safety, and security of users, customers, or the public.
We do not sell personal information.
4) Data retention

Trip location data:
We retain trip location data for no more than a couple of days for operational needs (such as trip verification and troubleshooting),
after which it is deleted or anonymized unless otherwise required by law or agreed with your organization.

Yard/terminal vehicle location records:
Retained as long as needed for inventory tracking and your organization’s operational requirements, or until updated/deleted by authorized users or configured retention settings.

Inspection data and photos:
Retained as long as required for service delivery and business/contractual needs, unless configured otherwise.
5) Your choices and controls
- Start/Stop tracking: You must explicitly start a trip to enable real-time trip tracking and you can stop it at any time.
- Permissions: You can manage camera and location permissions in your device settings. If you disable location permission, trip tracking and yard location capture may not work properly.
- Access and deletion: If your account is managed by an organization, requests to access or delete data may need to be handled through that organization.
6) Security
We use reasonable safeguards designed to protect information. However, no method of transmission or storage is completely secure.
7) Children’s privacy
The App is not intended for children under 13 (or the minimum age required by local law). We do not knowingly collect information from children.
8) Changes to this policy
We may update this policy from time to time. We will post the updated version and update the effective date.
